Checklist for onboarding new employee/hire and running their payroll

When onboarding a new employee and running their first payroll, there are several important things to consider:

  1. Add the employee to a worksite: Make sure the employee is properly added to the worksite where they will be working. This will ensure that the paid holidays are correctly applied to them.

  2. Include them in the correct attendance policy: Ensure that the new employee is included in the attendance policy that applies to their role. This helps in tracking their attendance and managing their work hours.

  3. Include them in the appropriate approval flows: It's important to include the new employee in the approval flows that are relevant to their position. This ensures that their requests, such as leave or overtime, go through the appropriate channels for approval.

  4. Assign the basic and allowance amounts based on the employee's join date: For example, the payroll period might begin on the 26th of April 2023, and the employee might join the company on the 28th of April 2023. Even in this case, the start date for both basic and allowance must be stated as the 28th of April 2023.

  5. Add pension and shifts starting from the beginning of the payroll period. For example, if the payroll period is from the 26th of April 2023 to the 2nd of May 2023, the assigned pension start date must be the 26th of April 2023, and the shifts must be entered starting from this day as well.

By following these five steps, you greatly reduce the chances of errors when running payroll for the new employee.
